Wedding Signage is no small Project. In fact, it is such a big and important deal that we gave it it’s own Project Block! There will be more writing around your wedding then you might think, from Parking Signs to Directional & Behavioral Signs to Menu Signs. All of your signage is very important as it clues guests in on what to expect and how to behave. Signage also serves a very important role in that it helps your guests have a successful Wedding Experience. After all, that is what a reception and wedding celebration is all about, showing your friends and family how great of a host you two can be as a couple…
Why you need Menu Signs
Menu signs are important for several reasons, Allergies, Intolerance, and Preferences. Who doesn’t like to know what they’re about to eat? As a coordinator, I strongly encourage my couples to ask their caterers if they will be providing a menu. If not, I usually get a copy of it and make my own signs because I think it is that important. Since every person attending your likely has different dietary restrictions or considerations, {most have none} but you’ll still want to give them as much information as possible so that they can make their own decisions on what to eat, or not eat.
Trust me when I say, “You’d rather take the time to make the little signs than have an ambulance at your Wedding”Â
What Menu Signs should say
Your signs should be very simple. Even the most common things can be lethal if they contain allergens. Fortunately, most people with allergies know exactly what to avoid if it is that severe of an allergy. Did you know Caesar Salad Dressing contains anchovies? Or that many dishes are prepared in Sesame Oils? You may not even know all the potential allergies, and that’s okay, you don’t have to. All you have to do is inform your guests what the dish IS and they can do their part to avoid it. But please do ask your caterer all the right questions just in case there is a red-flag ingredient hiding in there. Caterers are brilliant people too, they likely are already prepared for this… but if your wedding is a potluck or family cooking style wedding, be aware.
Additional Labels
Under the title of the dish, it would be great to add these little subtitles. A few key pieces of information should be if dishes are:
- Vegan
- Gluten Free
- Contains Nuts
- Contains Dairy
*It would be kind of you to always consider adding a Vegetarian option to your Wedding Menu. I’m sure you know of your friends and family who would appreciate it. There is also a large part of the general population who would love to see Gluten Free options at your Wedding too.
How to Write Menu Signs
Okay now to the goods! You’ve identified all the information on your menu and you’re ready to make the signs! You can choose from a huge variety of signage, but I prefer the chalkboard tags because you can erase them and use them in the future.
What you need
- Signs
- Transfer Paper
- Computer/Printer
- Tape
- A good pen
Step 1: Word Processing
I use my computer to create a Word Document with all the Signage I need. I then scale it to size so it fits on my surface, it is big enough to see and it looks pretty. Choose a font that is Sans Serif so that it is clear and legible. Print the words, then cut them out as close to their edges as possible.

Step 2: Transfer Paper
This next part is key. Instead of writing small words like this with a chalk pen {which I bet you thought I used} I actually use a Transfer Paper in white. You can buy rolls of this Transfer Paper {also called Tracing Paper} in 5 colors, but I mostly use white. I prefer the Saral brand which you can buy on Amazon Prime <HERE>

Center all of your words on your signs and hold it into place with tape at the top. Then slide your Transfer paper under the word, on top of the sign surface. Use a pen to color in the whole word. This is why you need a good pen that is ball point, but not too blunt to miss the letter details. If you do it well you won’t need to fill it in with a Chalk Pen. A Chalk Pen on these small signs never comes out as clear.
Step 3: Perfecting
Flip up the taped on word and check to make sure it’s looking good and centered before you continue. Also, make sure you’ve put the transfer side down! When you’re satisfied with your work, use a wet cloth to rub off any excess transfer.
And you’re done!
I use this technique for all of my writing at all of my weddings. I also use it to trace larger signage, which I do fill in with a Chalk Pen. This is my favorite way to do it because it is consistent throughout your wedding. It is my opinion and preference that all signage looks the same, same font, same spacing, etc. This method gives you the ability to do just that.
