Video- Project Block 23 Lecture.mp4

The third in the trio of infamous time-suckers {P20, P21 & Now P23} when it comes to wedding day set up… If you have bought any decor that you have said, “We’ll just put these around” these are Project 23’s and they have a special place just because they can really hold up the show if they are not delegated correctly. I get a little candid in this Project Post… but you’ll totally understand by the end!

Building your Worksheet

Image:

Collect all the images you like for big space, usually above your wedding, in the ceiling. This would be any lanterns, drapery and streamers. Lighting actually has it’s own whole Project Block {P20}. Make a collage for all these ideas or print multiple pictures and affix them to the back side of the worksheet for more space. It is very important to communicate this whole vision to your setup team effectively.

Ingredients:

Write out all the ingredients you have {the pretty} but more importantly, write the list for the Staging Kit!

  • Paper Lanterns
  • Tulle
  • Streamers
  • Drapery
  • STAGING KIT

Staging Kits may include:

  • Ladder
  • Hammer & Nails
  • Command Hooks
  • Zip Ties & String
  • Staple Gun
  • Wire & Clippers

You get the idea. Many of the typical Project 23’s require a bit more handy work than just a simple phrase of “We’ll just put these anywhere” as well as actual tools you may not have thought to bring with you. Imagine as if you are setting all these items up on an island, and once you get there, you can’t leave… so make sure all possible items for installation of P23 are “packed and brought to the island” so your set up crew isn’t driving 30 minutes into town for a screwdriver on your wedding day! Also remember that setting these decorations up might be dangerous… the person staging will be up and down a ladder, high in the air, so give him/her plenty of time to work and not rush, for safety.

Prior to Wedding:

List tasks that need to be complete before the wedding day to ensure success including:

  1. VENUE SET UP
    • Ask your venue about restrictions and limitation for decorations.
      • Some venues do not allow tacks, staples, nails, etc into their historic barn wood
    • Confirm a person who can get on a ladder and do the necessary setup before you even buy anything.
      • Don’t waste your money on paper lanterns if no human is available to get in the air 16 feet on a ladder and put them up for you!
    • Can you do the P23 the day before the wedding? ASK! If not, they may truly take too much time away from another set up and delay the entireday! It’s happened…
    • Determine who will put them up AND who will take them down
      • Make sure you can get them DOWN before you have to be out of your venue if you’re not allowed to return the next day.

Overall Decisions needed to finish the Project:

  • What are your P23 Decorations and where are they going?
  • Who will be setting them up and on which day, at what time?
  • Who must take them down and do they need to come down the same night?
  • How high will they have to go in the air? Ceiling? Trees? Another Structure?
  • Who will hang your tulle? Please review your GEG Service Agreement for limits on P23 Setup.

Staging Materials:

It is truly advised that you do any and all P23 decorations first in your set up plan. They cannot be left to the end because they will most assuredly never happen. When you say, “Those are for just around” people {set up volunteers} will innocently make them much less of a priority. They will truly become extras, and not important when in fact they really are important to you. They are even very necessary for pulling together the big picture vision you have. To ensure they are set up timely and adequately, do them the day before, or very first thing, as early as possible on the wedding morning. We understand that many times you cannot get into your wedding venue to decorate the day before or sometimes only hours before the ceremony. Consider the time and energy needed to hang things in the air and prioritize. Again, don’t even buy these decorations if there is no time or person to do the necessary staging.

Wedding Day Set Up:

  • Check off when the Project is Done, Packed and Ready to Go
  • Check off when this Project is loaded into a Big Day vehicle
  • Assign the Person who is setting HQ up for you {if different than the Person in Charge}
  • Name your Person in Charge. He or she will then take over the Worksheet and check off the remaining Wedding Day Set Up boxes as they are completed.
