
After the P6 Transition your guests make their way to Cocktail Hour. Cocktail Hour is where they WAIT for you to get back from wherever you are to start the reception. During the Cocktail Hour, you’re taking Newlywed & Family Pictures {P28} and your guests mingle. These are the Mingle Projects, their powers combined form your Cocktail Hour. Here is the Progress Checklist for all this week’s Project Block. Have all these items checked and DONE prior to starting the next Project Block Week so you stay on track.
Week 12 Progress Checklist
PROJECT BLOCK 7: ENTERTAINMENT
- GUEST DRAW: What will pull them away from the Ceremony into the Cocktail Hour?
- Identify your P7
- MUSIC PLAYLIST: The party starts right now for your guests
- Determine a playlist theme with your DJ
- Make sure to eliminate your Reception Highlight songs so they’re not played twice.
- Write a DO NOT PLAY list if you have strong feelings about it.

PROJECT BLOCK 8: APPETIZERS
- HAND PASSED or STATION HORS D’OEUVRES
- Communicate appetizer options with your caterer and how guests will receive them. Hand Passed or Station?
- Update your venue/rental contracts
- Discuss a menu with your caterer based on the time between Cocktail Hour and dinner.
- Include dietary options for Gluten-Free, Vegan and Lactose Intolerant Guests
- Determine serving requirements you must provide: plates, napkins, utensils, etc.
- Communicate appetizer options with your caterer and how guests will receive them. Hand Passed or Station?
PROJECT BLOCK 9: THE BAR
- LEGAL: Make sure you have a licensed bartender and insurance!
- Give your venue your Bartender’s license number in their records.
- Give your venue a copy of your Alcohol Liability Insurance
- BAR STOCK
- Determine WHERE/WHO you’re buying it from and WHEN
- Calculate Wine & Beer/Keg Bottle Count
- Calculate Water Count: Dispensers or Bottles
- Calculate Signature Drinks: Lemonades, Cocktails, Sodas, etc.
- Calculate the number of cups – 3 to 5 per person
- Calculate Champagne Bottles for Champagne Toast {only if you’re doing it}
- Determine WHERE/WHO you’re buying it from and WHEN
- DISPOSAL PLAN
- Determine what you’re going to do with bottles, cans, and cups during the wedding
- Determine who will dispose of them after the wedding, “tomorrow”
- BARTENDER FEES
- Determine what will happen with unopened bottles and cans.
- Ask if your Bartender provides keg taps, or do you need to rent them separately?
