This is one of my favorite Project Blocks because well, #cake… Who doesn’t love that? This is also a great follow up Project after Project 12 because that might have been a little stressful and you need a treat… I get it.

Everything about cake is fun, although guests can get a bit tricky. For the most part, we’re back to the “pretty” for this Project with a tad bit of coordination.


Building your Worksheet

Find a fun image that showcases the shape you want this Project Block to take. Is it built up out of crates? Is it a folding table with a linen? Or is it a vanity with vintage suitcases? Find all sorts of inspiration on the Project Block 13 Pinterest Board

Ingredients:

I want you to assign every dessert a “container and server” whether it is a cake stand and knife, or a jar and scoop. Food has to be set on and served from something using something, not fingers. Itemize out each piece down to the cupcake wrappers or toppers.

Prior to Wedding:

  1. HIRE A BAKER
    1. Make appointments and attend tastings
    2. Review and sign a contract: Including delivery & setup
  2. ORDER CAKE(s)
  3. Order Cake(s) = Which size(s)
    1. Cutting Cake & Sheet Cakes or full Wedding Cake
  4. Order Cupcakes = Which Flavor(s)
    1. Include dairy free, vegan and gluten free options
  5. DISPLAY & SERVING
  1. Designate area for cake table: Rent proper furniture, linens & accessories
  2. Rent or purchase cake plates, napkins, forks, cupcake liners (if special color theme)
  3. Purchase cake knife & server, cake topper
  4. Purchase to-go or carry out boxes for the end of the night
  5. DESSERTS & EXTRAS
  1. Rent Candy & Dessert Buffet serving dishes or jars
    1. Estimate candy amounts & purchase wholesale/bulk
    2. Pre-dress display table for spacing, make labels & signs
  2. Ask people you want to make desserts for a dessert bar.

    1. Designate a Liaison to receive them at the wedding with their dessert

Staging Materials:

We really get to look into all those amazing rental companies again! Decide on your big furniture and write in the specific items used for the styling factor of this Project, the table, linen or big furniture, etc. This way the person setting it up for you {Person in Charge} will know what it is supposed to look like in the pictures.

Your Staging Materials are a bit bigger than those in Materials Needed. For this section include the furniture, linens, signage and even floral arrangements needed to produce the ‘staged’ look that is supplementary to the actual food. How is it all pulled together? That signature sequin linen? That massive chalkboard menu sign? Those detail pieces belong here. Then, we need to start building, finding or collecting them.

*Are there any floral arrangements on this table? Usually, if not already on the Welcome Table, your Tossing Bouquet can go here to give it a double purpose. Or even better… once your guests have walked by the Welcome Table, move that floral to this third and final location!

Wedding Day Set Up:

The Wedding Day section is meant for set up but also serving. Who will be bringing, setting up and displaying all of your desserts?

Identify:

  • Who is setting up the Staging before the wedding so that cakes can swiftly be brought out and filled in?
  • Who is bringing out the cake?
  • Who is cutting it and plating it?
  • Where are you setting down plated cakes for guests to come grab? You’ll need a large empty surface if you’re plating cake.

In Addition, Under Materials Needed:

  • Don’t forget NAPKINS! Make these the little cocktail napkins with your names on it for a souvenir! Guests will need napkins even for cupcakes.
  • Do guests even need plates and forks? Not if you’re doing cupcakes…
  • Candy Buffets require some sort of container for guests to deposit candy into like Treat Bags, Bowls, etc. Don’t forget those too!
  • Additional styling might go into Materials Needed such as labels, tags, chalkboards, etc. Items that are smaller than Staging Items can go under Materials needed.
  • If you have these items, remember to put their production in the Prior to Wedding
    Section!

Overview: To Finish this Project…

  • A finalized Guest List Excel Spreadsheet should tell you how many pieces of dessert are needed and budget per serving.
  • Build out your Ingredients Section for displays and servers
  • Identify Prior to Wedding Tasks: Ordering and constructing styled items
  • Identify and rent/find your Staging Materials
  • Identify your Wedding Day set up people and who is doing what

Then per the usual drill.

  • Check off when the Project is Done, Packed and Ready to Go
  • Check off when this Project is loaded into a Big Day vehicle
  • Assign the Person who is setting it up for you {if different than the Person in Charge}
  • Name your Person in Charge. He or she will then take over the Worksheet and check off the remaining Wedding Day Set Up boxes as they are completed.
