This is one of my favorite Project Blocks because it is also what we call a transitional Project. This one is way more about the “What Happens” than the “How it Looks” and it is the segway between your Ceremony ending and your Cocktail Hour beginning.
Building your Worksheet
Once you’re wed what happens? You walk up the aisle as Newlyweds and where do you go? Do you form a receiving line? Do you head off to a retreat area to sign your license? Do you take off running to a getaway vehicle for the airport?
At the same time, what happens for your guests? Do they need to pick up their chair and move it? Do guests need to get back in the car and drive somewhere?
Does your Coordination Team need to move anything? Do mason jar aisle decorations need to become centerpieces? Do framed tribute pictures need to arranged at the reception?

There is no specific image needed for this Project Block. But, you can select an image that best represents any styled pictures you want your photographer to snag. If you are not planning to take any pictures during this project you can leave the image blank.
Ingredients:
Here is where you should list all documents or props needed during the transition, specifically the Marriage License if you’re signing it now.
Prior to Wedding:
List tasks that need to be complete before the wedding day to ensure success including:
- TRANSITION
- Decide which transition you’ll do
- Decide where you’ll take your Couple’s Retreat moment
- Communicate with your Officiant about Project 6 Transitions
- REHEARSAL
- Call your venue and schedule a rehearsal for the night before the wedding
- Arrange any prior to wedding set up times
- Invite your Officiant to the Rehearsal
- Invite your Wedding Party & Processional members to the Rehearsal
- Invite your DJ, Photographer & Wedding Planner to the Rehearsal
- If it isn’t included in your contract you may have to pay extra. Weigh its value to you before you invite/add to contract fees
- Schedule a secondary site visit or pre-rehearsal with any performers or rental equipment setup {dance floors, tents, lighting}
- REHEARSAL DINNER
- Inquire if someone would like to host.
- Traditionally the parents who are not hosting the wedding, will host the rehearsal dinner
- Ask the host volunteers about the budget and who you can invite outside of the Rehearsal Group
- Traditionally, if they weren’t at rehearsal they do not go to dinner.
- The exception might be family from out of town who you rarely see.
- Inquire if someone would like to host.
Staging Materials:
From your Ingredients list write in the specific items used for the styling factor of this Project, the table, pen or music stand, etc. This way the person setting it up for you {Person in Charge} will know what it is supposed to look like in the pictures. There is also the Marriage Certificate, which is the pretty one. Be sure to indicate to your set up team, or whoever is helping you facilitate this Project that you want that one there for the pictures and not just the legal document, although, you may want pictures with that one too!
Wedding Day Set Up:
Where to find it
This Project Block Worksheet has a special box at the bottom for ‘”Where to Find It” on your wedding day. This box will tell your Person in Charge exactly where it is {within your Project Zero Bag} should you forget to give it to the Officiant prior to the wedding. Will it be in your Binder? Will it be inside a duffel bag, or on top of the nightstand in the hotel room? Choose a place where it will be for easy access. This will be the SAME PLACE your facilitator will put it back after the signing, unless he/she is mailing it in for you.
- Check off when the Project is Done, Packed and Ready to Go
- Check off when this Project is loaded into a Big Day vehicle
- Assign the Person who is setting HQ up for you {if different than the Person in Charge}
- Name your Person in Charge. He or she will then take over the Worksheet and check off the remaining Wedding Day Set Up boxes as they are completed.
